Project Manager/Finish Selection/Estimation

Overview

The Project Manager is the point person between the client, the design team, and the field crew on the jobsite, including subcontractors. The role of the Project Manager is to oversee all aspects of a project from start to finish to ensure maximum efficiency and customer satisfaction. Although the Project Manager is not expected to wear a toolbelt, the Project Manager needs to have the technical competency of a Lead Carpenter, and the managerial skills to actively monitor all activities and personnel on the jobsite.

For Roots Builders to maintain profitability, it is essential that it consistently produces projects on budget. The role of the Estimator is to put together project budgets that accurately reflect the scope of work, ensuring that Roots Builders can achieve high levels of client satisfaction and maintain an average budget variance of +/- 8%.

Additionally, the Project Manager is to work with a designer/architect to guide the client through the process of selecting lighting and plumbing fixtures, appliances, cabinets and countertops, ceramic tile, flooring, accessories, and paint colors, and to assure that these items are selected in a timely fashion, thoroughly documented, and delivered to the jobsite when needed.

Project Manager Responsibilities

o   Maintaining working knowledge of project management software and other technologies required for communication and tracking of project status. I.E Excel, Smartsheet, Mircrosoft Word, QB Time.

o   Acquiring and maintaining all permits required by state or local jurisdictions

o   Providing exceptional customer service and maintaining consistent communication with all team members

o   Supporting Owner/CEO by generating detailed estimates and contract documents

o   Working closely with Owner/CEO, client, design team, and Lead Carpenter on all phases of project development to assure there is adequate project documentation in place prior to construction start and adherence to project documentation, budget, and schedule once the project has started

o   Developing and maintaining project schedules for client decision-making, material ordering, subcontractor coordination, crew scheduling, inspections, and construction tasks during both project development and construction phases

o   Facilitating team meetings with architects, clients, site leads and subcontractors

o   Producing RFIs, RFPs and change order documents as needed and in a timely fashion

o   Working with Site Lead to coordinate subcontractors to make sure they show up when needed, have the necessary on-site support, and are informed promptly of any schedule changes

o   Supporting Site Lead Carpenter with material procurement and subcontractor and inspection coordination

o   Tracking and monitoring all project costs for comparison to budgets

o   Overseeing safety and quality control processes

o   Ensuring achievement of agreed-upon building performance standards

o   Submitting coded receipts to the office in a reliable and timely fashion

o   Running weekly client meetings, and recording and sharing meeting notes promptly with all participants

o   Tracking Project costs based on square footages for future estimation

o   Running Final Client Walk Through and organizing completion of remaining warranty work within two weeks of job completion

Product and Finish Selection Responsibilities 

o   Working with the client and the designer/architect to select lighting and plumbing fixtures, appliances, cabinets and countertops, ceramic tile, flooring, accessories, and paint colors throughout the project design and planning process

o   Coordinating showroom visits and samples with the client

o   Documenting all decisions including supplier, manufacturer, model, finish, quantity, price, lead time, etc. in a format that is easily accessible to all other team members

o   Assembling finish schedules for interior and exterior finishes in a timely manner, acquiring approval from client & architect/designer, then sharing with crew & sub-contractors

o   Soliciting feedback from appropriate subcontractors and suppliers regarding relative quality and durability of various product lines and using that information to help inform client choices

o   Maintaining a good relationship with salespeople and showrooms who provide a high-level of service for Roots Builders clients

o   Reviewing final design and contract documents to verify that the correct products and finishes choices have been included

o   Placing and tracking material orders

o   Intaking order deliveries and checking for accuracy, completeness, and quality

o   Managing order returns and issue/warranty claims as needed

o   Following up with clients and subcontractors regarding choices made on recent projects to make sure those choices have been satisfactory

Estimation Responsibilities

o   Working with the designer, client, and Salesperson to help define scope of work for each project

o   Reviewing documentation throughout the planning process and ensuring correlation between what has been designed and what has been estimated

o   Reviewing design plans, structural plans, product specification sheets, Safety Data Sheets, material quotes, sub-contractor quotes, construction agreement, and any other project documentation for appropriateness and accuracy with attention to safety, design intent, schedule, budget, code compliance and adherence to specifications

o   Working with designers, subcontractors, and suppliers to generate budgets for each project at appropriate intervals during the planning phase; such intervals may include initial feasibility budget, budget updates during design development, and final contract sum

o   Assembling special orders list and coordinating materials ordering

o   Reviewing contract documents prior to signing

o   Reviewing monthly job-cost accounting reports with Office Manager prior to presentation to Owner/CEO and/or management team

o   Working with Site Lead to anticipate and manage any obstacles that arise during projects that impact schedule, budget, quality, and work

o   Working with Site Lead, and design teams to stay on top of “best practice” materials and techniques

o   Developing and maintaining estimating system to yield 8% estimate accuracy on all jobs

o   Closing feedback loops on an ongoing basis to identify opportunities for improvements in estimating speed and accuracy

o   Periodically reviewing all line items across jobs, tracking which categories have the greatest variances, and developing strategies to bring those into line
